As a Front Desk Receptionist at a medical spa and plastic surgery clinic, you will play a vital role in providing exceptional customer service and administrative support to ensure a smooth and efficient operation. You will be the first point of contact for patients and visitors, responsible for greeting them, answering inquiries, scheduling appointments, and managing various administrative tasks. Your professional and friendly demeanor, along with your organizational skills, will contribute to creating a positive experience for patients and maintaining a professional and welcoming environment.
Key Responsibilities:
Greeting and Check-In: Welcome patients and visitors warmly, providing a friendly and professional first impression. Ensure proper check-in procedures, including verifying patient information, collecting necessary forms, and updating the patient database accurately.
Appointment Scheduling: Manage patient appointments efficiently, utilizing the scheduling system to book consultations, treatments, and surgeries. Coordinate with surgeons and medical staff to ensure appointment availability and optimize the utilization of resources.
Phone and Email Communication: Answer incoming phone calls, respond to inquiries promptly, and address patient concerns or questions. Handle email communication professionally, providing accurate information and routing messages to the appropriate staff members.
Patient Coordination: Assist patients in completing necessary paperwork, consent forms, and medical history questionnaires. Coordinate patient flow, ensuring timely hand-offs between different departments, and assisting with the coordination of pre and post-operative care.
Payment and Billing: Collect and process payments accurately, following established protocols and maintaining patient confidentiality. Collaborate with the billing department to ensure proper coding, insurance verification, and timely billing of services.
Records Management: Maintain organized patient records, both physical and electronic, ensuring confidentiality and compliance with privacy regulations. Retrieve and file medical records, update patient information, and assist with data entry as needed.
Office Administration: Perform general administrative tasks, including managing the front desk area, maintaining an orderly waiting room, checking insurance patients and creating encounter forms, and coordinating with other staff members to ensure smooth operations.
Patient Education and Promotion: Provide patients with general information about procedures, treatments, and services offered at the medical spa and plastic surgery clinic. Support marketing efforts by promoting special offers, events, or new services to existing and potential patients.
Qualifications and Skills:
- High school diploma or equivalent (additional education or certifications in healthcare administration or customer service are a plus)
- Previous experience in a medical spa, plastic surgery clinic, or similar healthcare setting is preferred
- Excellent communication skills, both verbal and written, with a professional and empathetic demeanor
- Strong customer service skills, including the ability to handle difficult or emotional situations with patience and sensitivity
- Proficient computer skills, including experience with appointment scheduling software and electronic medical records (EMR) systems
- Organizational skills and attention to detail, with the ability to multitask and prioritize effectively
- Knowledge of medical terminology, procedures, and insurance processes is advantageous
- Discretion and respect for patient confidentiality
- Flexibility to work in a fast-paced environment, including evenings or weekends if required
